Answer

Below is a list of resources and links for setting up and using a multi-factor authentication app of your choosing for your Tableau Cloud user account.  Because there are multiple options for setting up MFA and using an authenticator app, the instructions will be contained in the links provided.

Initial Setup

There are two main options when configuring MFA.  One is to use your single sign-on (SSO) identity provider (IDP) or to use Tableau authentication.  When MFA is enabled, there are two or more pieces of verification a user needs to log in such as username/password and an additional code generated by an authenticator app.  For more information on the two methods (SSO or Tableau), please review the User accounts and multi-factor authentication section of the Tableau Online Help.

When initially setting up multi-factor authentication, you can choose to receive a notification or use a temporary authentication code.  If you choose notification, your device will ask if you are authenticating at a specific location, with the option to select "Yes".  The temporary code requires that you open the app and enter the six-digit code.  The notification option response may be different when using a third-party app instead of the Salesforce App.

Recovery codes on the other hand, are special codes, 10 backup codes, that are provided during setup and are all one time use only. They are meant to be used as an emergency backup authentication method only, in case you get locked out of the Notification, or Temporary Code options.

Please Note: It is highly recommended to NOT use Recovery Codes as the main method of authentication, as these codes are to be used in emergency scenarios only as a backup form of authentication.

Additional Information

Note: Verification codes are time sensitive, and if your temporary authentication code switches to a two word recovery code, you can request that a new temporary authentication code is sent. The two word phrase in the authenticator app is a recovery code, and not the temporary code you will use to authenticate to your Tableau Cloud site.

If you have received a new phone, the authenticator App will need to be installed on the new phone.  For further troubleshooting new phone access, work with your Site Admin to reset the MFA.  Only if you are the Site Admin, contact Tableau Tech Support to reset MFA manually.
