Editing Workbook with Embedded Credentials Prompts for Password

Issue

Even when credentials are embedded for a data source, a sign in prompt displays when trying to to edit the workbook.

Environment

  • Tableau Server 
  • Tableau Online

Resolution

To resolve this issue, publish the data source as a Tableau Server data source, and then replace the local data source with the published data source.

Publish the data source

  1. In Tableau Desktop, right-click the data source in the Data window, and select Publish to Server.
  2. Type a name in the Name field.
  3. From the Authentication drop-down list, select Embedded Password.
  4. Click the Publish button.
​Connect to the published data source
  1. Select Data > New Data Source.
  2. Select Tableau Server.
  3. Select the published data source from the list.
  4. Return to the worksheet.
Replace the local data source with the published data source
  1. Select Data > Replace Data Source.
  2. In the Current drop-down list, select the name of original data source.
  3. In the Replacement drop-down list, select the name of new data source.
  4. Click OK.

Cause

The prompt for credentials will occur for users who are not the original publishers of the workbook. This behavior is designed to prevent unauthorized users from accessing the data that may not be visible in the view. Using a published data source will allow editing of the workbook without prompting for password.
